Managing Your Availability
Your availability calendar is a critical tool for managing your vendor business on EventMann. Keeping it accurate ensures organisers only invite you for dates when you're actually free, and helps you avoid the awkwardness of declining requests due to scheduling conflicts.
The availability system integrates with your event requests and contracts so you always have a clear picture of your commitments:
- Open your calendar — navigate to Dashboard → Availability to view your availability calendar. It displays all confirmed events, pending requests, and blocked dates.
- Block dates — click on any date or drag across a range to block it off. Add an optional reason (e.g. "Holiday", "Other client", "Equipment maintenance") for your own reference.
- Set recurring blocks — for regular unavailability (e.g. every Monday), use the "Recurring Block" option to automatically block those days each week or month.
- Handle conflicts — if a new request overlaps with an existing booking, the system will flag the conflict. You can choose to decline the new request or rearrange your schedule.
- Update as needed — remove blocks by clicking on them and selecting "Remove Block". Keep your calendar current to maximise the number of valid invitations you receive.
Tip: Block your calendar at least two weeks in advance for personal time off. Organisers often plan events weeks ahead, and an up-to-date calendar prevents last-minute scheduling headaches.
Your calendar is private — organisers can only see whether you are "available" or "unavailable" on a given date, not the reasons for your blocks. This protects your privacy while keeping communication smooth.
