Responding to Event Requests

When an event organiser needs your services, they'll send you an event request through the platform. This is your opportunity to review the event details, assess whether it's a good fit, and respond professionally. How quickly and thoroughly you respond can significantly impact your vendor rating.

Here's how the event request process works from start to finish:

  1. Receive the invitation — you'll get an email notification and a dashboard alert when an organiser sends you a request. The request includes event details, dates, required services, and budget range.
  2. Review the event details — click into the request to see the full event brief. Check the event date, location, expected attendance, and specific service requirements.
  3. Check your availability — verify you don't have conflicting commitments on the requested dates. Use your Availability Calendar to cross-reference existing bookings.
  4. Accept or decline — click "Accept" to confirm your interest, or "Decline" if you cannot take the job. Always include a brief message explaining your decision.
  5. Negotiate terms — if accepted, you may need to discuss specifics with the organiser. Use the built-in messaging system to clarify scope, pricing adjustments, or special requirements.
  6. Confirm the engagement — once both parties agree on terms, the organiser will send a formal contract. Review and sign it to lock in the booking.

Important: Respond to event requests within 48 hours. Requests left unanswered for more than 7 days are automatically expired, and slow response times negatively affect your vendor rating.

Building a strong track record of prompt, professional responses helps you climb the marketplace rankings and receive more invitations from top organisers.
