Handling Booking Requests
When an event organiser wants to book your venue, they submit a booking request through the platform. You'll review the request, assess whether the event is a good fit for your space, and respond with an acceptance, counter-offer, or decline. Managing requests promptly and professionally is key to building a strong reputation.
Receiving a Request
When a booking request comes in:
- You receive an email notification and a dashboard alert
- The request includes: event name, type, dates, expected attendance, services needed, and budget
- The organiser's profile and event history are visible so you can assess their credibility
Responding to Requests
- Review the request — open the request from your dashboard and review all event details carefully.
- Check availability — verify the requested dates are free on your venue calendar, including buffer days for setup and teardown.
- Accept the request — click "Accept" if the event is a good fit. Include a message confirming details and any next steps.
- Send a counter-offer — if you want to adjust pricing, suggest alternative dates, or modify terms, click "Counter-Offer" and detail your proposed changes.
- Decline the request — click "Decline" if the event isn't suitable. It's good practice to include a brief reason (e.g. "Date unavailable", "Event exceeds venue capacity").
Confirming a Booking
After both parties agree on terms:
- A formal booking confirmation is generated by the platform
- The dates are locked on your venue calendar
- Payment terms are activated (deposit, full payment, or instalment schedule)
- Both parties receive a confirmation email with all agreed details
Important: Respond to booking requests within 48 hours. Slow response times can cause organisers to book elsewhere. Your average response time is visible on your venue profile.
Tip: For high-demand dates (weekends, holidays, summer), consider requiring a non-refundable deposit to secure the booking. This reduces last-minute cancellations.
