Managing Venue Availability

Venue Owner Guide

Your venue availability calendar is how organisers know when your space is open for bookings. Keeping it accurate prevents double-bookings, reduces unnecessary inquiries, and ensures a smooth experience for both you and the organisers who want to use your venue.

Using the Availability Calendar

  1. Open your venue — go to My Venues and click on the venue you want to manage.
  2. Click "Availability" — the calendar view shows all bookings, holds, and blocked dates at a glance.
  3. Block dates — click on a date (or drag across a range) and select "Block". Add an optional reason: private event, maintenance, holiday closure, etc.
  4. Unblock dates — click on a blocked date and select "Remove Block" to make it available again.

Recurring Blocks

For regular closures (e.g. every Monday, or the first Sunday of each month):

  1. Click "Add Recurring Block" on the calendar toolbar.
  2. Set the pattern — choose daily, weekly, or monthly recurrence and select the specific days.
  3. Set the date range — define when the recurring block starts and ends (or set it to "indefinite").
  4. Save — the blocked dates appear automatically on the calendar.

Handling Conflicts

If a booking request comes in for a date that has a tentative hold or another pending request:

  • The system flags the conflict and shows both requests side by side
  • You can prioritise the request you prefer and decline the other
  • Confirmed bookings always take priority over pending requests

Tip: Block buffer days before and after large events (like weddings or multi-day conferences) to allow time for setup and teardown. This prevents back-to-back bookings that could leave insufficient preparation time.
