Venue Owner Guide

Floor plans help event organisers visualise how their event will work in your space. By providing multiple layout configurations with accurate capacity figures, you make it easy for organisers to choose your venue with confidence and plan their event setup efficiently.

Adding Room Configurations

  1. Navigate to your venue — go to My Venues, select the venue, and click "Floor Plans".
  2. Click "Add Layout" — give the layout a descriptive name (e.g. "Theatre Style", "Banquet Round Tables", "Classroom", "U-Shape", "Standing Reception").
  3. Upload a floor plan image — upload a diagram or photo showing the room arrangement. Accepted formats: PNG, JPG, PDF, or SVG.
  4. Specify dimensions — enter the room dimensions (length × width in metres) and total floor area.
  5. Set capacity per layout — each layout can have a different capacity. For example, theatre-style might seat 200, while banquet-style seats 120.

Seat Arrangements

For venues with fixed or configurable seating:

  • Fixed seating — auditoriums, lecture halls, and theatres with permanent seats. Upload the seat map showing section, row, and seat numbers.
  • Configurable seating — flexible spaces where tables and chairs can be rearranged. Provide multiple layout options with photos of each configuration.
  • Mixed seating — spaces with both fixed and flexible areas (e.g. a theatre with a foyer for standing receptions).

Capacity Per Layout

Always provide accurate capacity figures for each layout:

  • Maximum standing — the most people the space can hold with no furniture
  • Theatre style — rows of chairs facing a stage or screen
  • Banquet style — round tables with chairs (typically 8–10 per table)
  • Classroom style — tables and chairs in rows, all facing front
  • Boardroom — a single large table with chairs around it

Tip: Include photos of your venue set up in each layout configuration. Organisers are much more likely to book when they can see real examples of how the space looks with different arrangements.
